Terms of Service

Welcome to the Bringing Out the Best (BOB) platform ("Platform"), operated by the Center for Youth, Family & Community Partnerships ("CYFCP," "we," "us," or "our") at the University of North Carolina at Greensboro. By accessing or using this Platform, you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you must not use the Platform.

1. Eligibility

The Platform is intended for use by behavioral health professionals, program staff, administrators, and other individuals authorized to support the Bringing Out the Best program. By creating an account, you represent that:

• You are at least 18 years of age.
• You are using the Platform for legitimate professional or program-related purposes.
• The information you provide during registration is accurate and complete.
• You have been authorized to access the Platform by a program administrator.

2. Account Registration & Responsibilities

When you create an account on the Platform, you agree to:

• Provide accurate, current, and complete information during registration and keep it updated.
• Maintain the confidentiality of your password and not share your account credentials with any other person.
• Immediately notify an administrator if you suspect unauthorized access to your account.
• Accept responsibility for all activities that occur under your account.

We reserve the right to suspend or terminate accounts that violate these Terms, provide false information, or remain inactive for an extended period.

3. Account Types & Access Levels

The Platform supports different roles with varying levels of access:

• Users have standard access to features relevant to their assigned program responsibilities, including case records and dashboards.
• Managers have additional access to team oversight functions and reporting features.
• Administrators have full access to all Platform features, including user management, system settings, and data administration.

Your account type is assigned by platform administrators and may be changed at any time based on your role in the program.

4. Teams & Collaboration

Users may be assigned to one or more teams within the Platform. Team membership is managed by administrators and managers. You agree to:

• Use team features only for authorized purposes related to the Bringing Out the Best program.
• Respect the confidentiality of information shared within teams.
• Not attempt to access teams or data to which you have not been assigned.

5. Case Records & Data

The Platform stores case records related to the Bringing Out the Best program, including Classroom, Triple P, and Half Day case types. You acknowledge and agree that:

• Case records may contain sensitive information about children, youth, and families receiving services.
• You will access only records for which you have been specifically authorized.
• You will not copy, download, share, or distribute case data outside of the Platform except as required by your professional role and in compliance with applicable law.
• You are bound by all applicable federal and state confidentiality laws and regulations, including but not limited to HIPAA, FERPA, and North Carolina General Statutes regarding the confidentiality of records involving minors.
• Misuse of case data may result in immediate account termination and may be reported to appropriate authorities.

6. File Uploads

The Platform allows file uploads in certain contexts (profile pictures, attachments, etc.). You agree that:

• You will not upload files containing malicious code, viruses, or other harmful content.
• You have the right to upload any content you submit and it does not infringe on the rights of others.
• Uploaded files are stored securely and are subject to our Privacy Notice.

7. Email Communications

By using the Platform, you may receive emails related to:

• Account actions (registration confirmations, password resets).
• Program notifications and updates.
• System alerts relevant to your role.

Transactional emails related to your account cannot be opted out of while your account remains active.

8. Intellectual Property

The Platform, including its design, code, content, and branding, is owned by CYFCP / UNC Greensboro. You may not reproduce, distribute, or create derivative works from any Platform content without written permission. Case records and data you enter remain the property of the respective agencies and programs, subject to applicable data governance policies.

9. Limitation of Liability

The Platform is provided "as is" and "as available." To the fullest extent permitted by law:

• We make no warranties, express or implied, regarding the Platform's availability, reliability, or fitness for a particular purpose.
• We are not liable for any indirect, incidental, special, or consequential damages arising from your use of the Platform.
• We are not responsible for any loss of data due to system failures, though we maintain regular backups.

10. Modifications to Terms

We reserve the right to modify these Terms at any time. When we make material changes, we will:

• Update the "Last Updated" date at the top of this page.
• Notify users via email or a prominent notice on the Platform.

Your continued use of the Platform after changes have been posted constitutes acceptance of the revised Terms.

11. Account Termination

We may suspend or terminate your account at any time if:

• You violate these Terms or the Acceptable Use Policy.
• You are no longer affiliated with the Bringing Out the Best program or an authorized agency.
• Your account poses a security risk to the Platform or its users.
• Required by law or regulation.

You may request account deletion by contacting a platform administrator. Upon termination, your access will be revoked, but records and data you contributed may be retained as required by program and legal obligations.

12. Governing Law

These Terms are governed by and construed in accordance with the laws of the State of North Carolina, without regard to its conflict-of-law provisions. Any disputes arising under these Terms shall be resolved in the courts of the State of North Carolina.
